Our client, a global leading provider in the Energy industry, is looking to appoint a successful Administrative Assistant to based in Maputo.

Purpose 

•    Responsible for managing the office resources to support the activities of the staff and ensure the office operationality. 

·    The position will report directly to the Maputo General services Manager.

·    This position is on a 48 hour / week schedule Monday – Friday

Responsibilities

·    Monitor the day-to-day personnel and administrative operations of the office.

·    Support all logistical requirements of office and other departments functions including meetings, travel, etc

·    Contribute to the provision of resources (human, material, and services) necessary to support the day-to-day activities of the staff in the office.

·    Implement process and procedures to improve and strengthen internal controls in line with company rules and regulations.

·    Coordinate the preparation of staffing and administrative requirements for the office.

·    Manage and coordinate the flow of information, ensuring that staff understand it and apply appropriate policies and procedures. 

·    Welcome and provide direction and information to clients, visitors, and other guests of the organization.

·    Managing office supplies and ordering new supplies as needed

·    Maintaining safety and hygiene standards in the office

·    To conduct regular maintenance of building

·    Perform other related duties as required.

Qualifications:

·    Proven experience as an office administrator, office assistant or relevant role 

·    Outstanding communication and interpersonal abilities

·    Excellent organizational and leadership skills

·    Familiarity with office management procedures 

·    Professional attitude and appearance

·    Be able to undertake duties without direct supervision.

·    Must be able to work extended hours when required.

·    Ability to work effectively with other departments, under pressure, delivering services with quality and on time.

·    University degree in relevant field or training in secretarial

·    Computer skills and experience with office software Outlook, Teams and Excel;

·    Excellent written and verbal communication skills in Portuguese and English;
