JOB TITLE: Facilities Assistant
LOCATION: Afungi

Our client, one of the world’s leading companies in the oil and Gas industry, is looking to appoint a successful Facilities Assistant to be based in Afungi.
• Onshore facilities include 2 LNG trains (total of 13 mtpa), LNG and Condensate storage, Marine Facilities (Jetty and loading facilities), Utilities and Early Site Infrastructure (Resettlement Village, Security works, airport, permanent camps, and roads)
• Onshore EPC contracts contract value is approximately $9 billion, including Construction at circa $4 billion
• Site Personnel on Board is expected to peak at 15,000.
• Assistant supports the Manager and related team
• Behavioral and Managerial Competencies: Self-motivated, proven leadership and proactive for carrying out the activities of the job.
• Analytical skilled and team leader with organizational rigor, anticipation skills, and a holistic approach and tenacity. Able to work under pressure and stressing conditions and in autonomy, to adapt, to analyze issues and communicate effectively with all entities, to write Standing instructions and procedures.
• Active team player with ability to manage and integrate with others in different functions and environment.
• Follow up on administrative duties for the team such as preparation of mission orders, expense forms, leave schedules, timesheets etc.
• Composing, typing, and distributing meeting notes, routine correspondence and reports, memos etc.
• Attach appropriate files to incoming correspondence requiring replies.
• Set up and maintain paper and electronic filing systems for records and correspondences by recording and organizing properly the share point
• Assist in completing forms in accordance with company procedures and policies as may be required by the entity.
• Receiving calls, visitors, handling their inquiries and directing them to the appropriate persons.
• Handle stock records, requisition orders and follow up accordingly in SAP
• Actively participate and follow up on the organization of all required Events
• Participate in HSE reporting as required
• Carry out any other duties that may be assigned to him/her by the line manager.
• Assist to gather and validates ‘lessons learnt’ from all project team and provides feedback
• To keep informed the Project Management team of matters related to the office spaces.
• To liaise with other secretaries for ensuring whole consistency of the organization of their work.
Context and environment
• Project entity is a multinational joint venture, has a large social performance element and is project financed by high profile lenders
• Afungi Site is extremely remote in Northern Mozambique with unreliable infrastructure and communications.
• The site is subject to mitigation measures based on Malaria, COVID pandemic and general security risks.

Responsible for the assigned duties in close collaboration with EPC Contractor and other team members as per project rules including project objectives for HSE, Quality, Schedule and Cost aspect
• Minimum 3 years’ experience in administrative and secretarial work including but not limited to drafting reports, organizing meetings, travel and accommodation booking
• Technical competencies: Very Good command of English knowledge and advanced experience in database management including MS access, word, project, excel and power point.

QUALIFICATIONS/EXPERIENCE REQUIRED
• Education: Bachelor’s degree in Engineering or equivalent.• Minimum 3 years’ experience in administrative and secretarial work including but not limited to drafting reports, organizing meetings, travel and accommodation booking
• Technical competencies: Very Good command of English knowledge and advanced experience in database management including MS access, word, project, excel and power point.
