Position Overview
The Office Support Assistant is an on-site role, responsible for supporting the daily operations of the office while providing professional front desk coverage. The ideal candidate is dependable, service-oriented, and comfortable in handling a variety of day-to-day office support tasks. This role reports to the HR Manager.
Responsibilities & Essential Duties
• Focuses on front desk coverage, administrative support, office services, and routine facilities coordination
Front Desk & Communication
• Answer incoming phone calls, route inquiries to the appropriate team members
• Serve as primary front desk contact, greeting and assisting visitors, contractors, and staff in a professional and friendly manner
• Maintain a clean, organized, and welcoming reception area
• Notify appropriate contacts when Property Management Issues
Mail, Shipping & Deliveries
• Receive, sort, and distribute incoming mail and deliveries
• Prepare and process incoming/outgoing mail and overnight packages
Office Services & Supplies
• Monitor and maintain inventory of office, kitchen, and office supplies (paper, pens, water, snacks, etc.)
• Place routine supply orders and organize storage areas
• Ensure shared spaces remain stocked, organized, and presentable throughout the day
Administrative Support
• Perform general administrative duties including copying, scanning, filing, binding, and simple data entry
• Format resumes for recruiters with quick turnaround times
• Assist with small office projects such as organizing supply areas, labeling, and workspace refreshes
• Assist HR in setting up new hire's desks
Facilities & Workspace Support
• Maintain facility internal emails and handle requests
• Report basic facility issues (lighting, temperature, minor repairs) to building management or vendors
• Coordinate routine service visits with facility contractors
• Track facility requests and follow up on status updates
• Support basic office safety practices (clear walkways, tidy workspaces)
Meetings, Events & Onboarding Support
• Set up and reset meeting rooms (seating, water/refreshments, clean-up)
• Assist with workspace set-up for new hires (desk readiness, supplies, basic access requests)
• Support scheduling and coordination of shared meeting spaces
• Assist with internal events and team activities (ordering food, set-up, clean-up)
Qualifications (Education, Experience, & Skills)
• High school diploma or equivalent required; college coursework or degree preferred
• Prior experience in reception, customer service, hospitality, retail, or office support is a plus
• Knowledge of basic administrative and clerical procedures
• Strong verbal and written communication skills
• Proficiency with Microsoft Office tools (Outlook, Word, Excel)
• Strong attention to detail and ability to manage routine tasks consistently
• Reliable, punctual, and service-oriented
• Ability to lift or carry office supplies or packages up to approximately 25 lbs
• Fully in-person role
