Senior Travel & Accommodation Coordinator

Our client, one of the world’s leading companies in the energy industry, is looking to appoint a successful Senior Travel & Accommodation Coordinator to be based in Maputo
KEY ACTIVITIES
• Perform with Travel Agencies to verify travel details and arrange reservations using existing flight schedule as well as internal resources.
• Review of travel and accommodation associated invoices, as well as statement of account ensuring accuracy.
• Manage hotel bookings, including hotel booking confirmation.
• Liaise with multiple departments ensuring that the main stakeholders receive necessary information on time.
• Charter flight creation in DaWinci.
• Charter flight bookings in DaWinci.
• Supervise personnel check-in, boarding and disembarking operations at the airport.
• Ensure 100% data accuracy between DaWinci and passenger manifest.
• Consolidate day-to-day booking request with Logistics team.
• Implement decisions regarding the number of flights, legs and changes to the flight schedule.
• Communicate initial flight schedule, disseminate revision to flight schedule if or when required.
• Ensure timely release of final passenger and cargo manifest.
• Ensure all flights are closed in due time.
• Optimization of the aircraft utilization.
• Keep up to date KPIs database.
• Management of irregularities (AOG – aircraft on ground, delays) and operational consequences whenever required, contribute into Operational procedure developments, applications and improvements.
• Carry out any other activities as may be assigned and approved by line manager.
• Ensure ground operations are performed in compliance with the highest HSE standards and as per planned, schedule with no delays attributed to passengers or air operators’ personnel.
• Ensure coordination of aviation activities.
QUALIFICATIONS
• Minimum of 5 years’ experience in Oil and Gas, Upstream Industry and/or aviation activities required.
• Knowledge of the aviation referential, basic knowledge in Oil and Gas aviation standards and ICAO and IASA regulation, IQSMS system knowledge or equivalent: previous experience in air operator operations.
• Ability to work effectively with other departments, under pressure, rigor sense of organization, ability to anticipate, and deliver services with quality and on time.
• Fluent in Portuguese and English (written and spoken).
• Computer skills including proficiency in MS office user.
