Site Executive Secretary
LOCATION:Afungi

Our client, a leading global provider in the Construction industry, is looking to appoint a successful Site Executive Secretary to be based in Afungi.
ACTIVITIES
Reception & Front Office Management
• Serve as the primary reception contact for all visitors, employees, and external stakeholders.
• Welcome and register visitors in accordance with site security and access control procedures.
• Manage incoming telephone calls, emails, and general enquiries, directing them to the appropriate departments.
• Coordinate meeting room bookings and visitor arrangements.
• Ensure the reception and common office areas remain professional, tidy, and presentable always.
• Maintain visitor logs and records in compliance with project requirements.
Administrative Support
• Provide secretarial and administrative support to the Site Manager, Project Director, and site leadership team.
• Prepare, format, and distribute correspondence, reports, presentations, and meeting minutes.
• Manage filing systems, both electronic and hard copy, ensuring accurate document control and confidentiality.
• Coordinate office supplies, stationery, and consumable inventories.
• Assist with travel, accommodation, and transportation arrangements for project personnel and visitors.
• Support onboarding activities for new employees and visitors.
Office Coordination
• Coordinate incoming and outgoing mail, courier services, and document deliveries.
• Liaise with camp administration, logistics, security, and other project departments to facilitate office operations.
• Support the organization of meetings, workshops, inductions, and project events.
• Monitor office facilities and report maintenance requirements to the relevant departments.
• Assist in coordinating office occupancy and workspace allocations.
Communication & Reporting
• Maintain accurate contact lists and office directories.
• Distribute internal communications and notices as required.
• Ensure confidentiality when handling sensitive project and personnel information.
• Prepare weekly and monthly administrative reports as requested.
HSE & Compliance
• Comply with all LNG Project Health, Safety, Security, Environment (HSSE) policies and procedures.
• Participate in safety meetings, toolbox talks, and emergency response drills.
• Ensure all visitors follow site access, security, and safety requirements.
• Promote a professional and safety-conscious workplace culture.
QUALIFICATION/EXPERIENCED REQUIRED
• Diploma or Certificate in Business Administration, Office Management, Secretarial Studies, or related field.
• Minimum 3–5 years of experience in a receptionist, administrative assistant, or office coordinator role.
• Experience supporting large construction, oil & gas, mining, infrastructure, or industrial projects is preferred.
• Previous experience working in remote site locations or camp environments is advantageous.
• Strong knowledge of office administration and document management practices.
